Create identifiers before you create a pitch deck
An adaptation record should begin with what can be identified, not with a claim that rights are available. Create separate fields for source-work title, author or credited creator, publisher or platform, canonical URL or edition identifier, language, publication status, observed date, claimed rights holder, and evidence URL. Add a separate row for every translation, revision, audiobook, comic, screenplay or vertical serial. Similar titles and translated aliases should be linked as aliases, not silently collapsed.
For fictional web novel Winter at Oriole House, record the original English serial as WO-ORIG-v1 and a later Spanish translation as WO-ES-v1. If a producer has read only the Spanish page, the sheet should not state that the translator controls film rights or that the platform can license a screen adaptation. It should state precisely what the page identifies and what remains unverified. That restraint avoids building a development plan on a mistaken object.
Separate provenance from permission
A provenance trail answers “what is this and where did this version come from?” Permission answers “who can authorise this use, for which scope, on what terms?” They overlap but are not the same task. Wattpad’s published terms describe a licence associated with posting material on its service; they do not resolve the chain of title for a particular adaptation. Use status labels that cannot be mistaken for clearance: source located; creator identity asserted; platform terms captured; rights claimant unverified; contact route identified; agreement reviewed by authorised counsel. Version every transformation and disclosure
When Winter at Oriole House becomes a vertical outline, assign it a new internal ID—WO-VD-outline-v1—with writer, date, language, source version used, and a note describing changes. If a logline, title or character name changes later, preserve the prior version rather than overwriting it. The same practice applies to credits, artwork, localisation and delivery masters. A clean audit trail lets a producer discover which source text informed which adaptation decision.
Before a researcher reports a deal, require the minimum provenance packet: source URL or edition, creator attribution, the claimed relationship between parties, dated announcement or contract evidence where publishable, territory/language if stated, and a clear delivery status. If only an exploratory announcement exists, write “discussions reported” and link the source. That tells readers something real while leaving room for the commercial and legal facts that have not been made public.
